The chase nobody wants to do

Invoices and quotes that have gone quiet are followed up on the schedule you set, in wording you approved. When somebody replies, it comes straight to you.

Chasing money is unpleasant, so it slips, and by the time it stops slipping the invoice is 90 days old and awkward. A follow-up sent on day 8 is not awkward at all.

A schedule you write once

You decide the rhythm and the tone once, and then it happens without you having to feel like the kind of person who sends these.

  • When the first one goes

Usually a few days after the due date, when it still reads as a reminder rather than a complaint.

  • How often after that

The gap you choose, and the number of times, after which it stops and comes back to you instead.

  • Who is treated differently

The customer of 11 years is not chased like an unknown one. You name the exceptions and they hold.

What actually gets sent

A follow-up is only useful if it is easy to act on, so each one carries what the payer needs.

  1. The invoice itself

Attached again, because half of all late payments are an invoice somebody genuinely cannot find.

  2. What is owed and since when

One figure and one date. No statement of account and no running total of everything you have ever sent.

  3. A way to pay now

Whatever route you already accept, put in front of them rather than described.

  4. A reply that reaches you

Answers go to you, not into a mailbox nobody reads. A question about the work is not a payment problem.

Where this stops

This is a reminder service. It is not collections, and the difference matters.

  • No pressure and no threats

Nothing sent mentions legal action, agencies or credit records. That is not a tone you can take back.

  • No decisions about a customer

Whether to write it off, put someone on stop, or take it further is yours. The service brings you the facts to decide on.

  • It never takes payment

Money goes where it already goes. Nothing here touches a bank account or holds a card.

Questions owners ask

What happens when someone replies?
The chasing for that invoice stops immediately and the reply comes to you. Nothing keeps sending reminders at a customer who is already talking to you.
Can it chase quotes as well as invoices?
Yes, and it is often worth more. A quote nobody followed up is a job you did not lose, only forgot to ask about.
What if they say they already paid?
It comes to you with the invoice and the date, and the follow-ups stop while you check. A wrongly chased customer costs more than a late payment.

This is one of 6 tasks the service covers. See the whole list, before and after, or read how a day's totals are reconciled overnight.

Describe one task

Write down the task, the kind of business you run, and how often it comes up. That is enough for us to tell you whether it is worth automating and what it would take.
