The gap, found before you are

Every source of money for the day is pulled, added up and compared overnight. What agrees is closed. What does not agree is on one short list in the morning.

The half hour at the end of service is not the expensive part. The expensive part is the night nobody had the energy to check, and the small shortfall that turned out to be a card terminal batch that never settled.

What has to agree

A day's takings are spread across systems that were never built to be compared, and each one rounds, batches and reports on its own schedule.

  • The till

    What was rung up, including the voids, the staff meals and the sale someone reopened at closing.

  • The card terminal

    What was actually captured and settled, which is not the same figure as what was authorised.

  • Cash and the deposit

    The float, the drop and what reached the bank, which is where a difference stays hidden the longest.

  • Every delivery platform

    Gross, commission and what is actually being paid to you, each on its own payout cycle.

What happens overnight

The work runs after close and finishes before you open.

  1. Everything is pulled

    Each system is read once the day is genuinely closed, not while a late order is still moving.

  2. Like is compared with like

    Timing differences are unwound first: a batch that settles the next morning is not a missing payment.

  3. The differences are listed

    Only what still does not agree, each with the 2 figures and where they came from.

  4. It is waiting when you open

    One short message. On a day when everything agreed, it says so and takes 10 seconds to read.

What it will not conclude

A difference is a fact. What caused it is a judgment, and that stays with you.

  • It never says who

    A shortfall is reported as a shortfall. Nothing here accuses anybody of anything.

  • It does not adjust the books

    No figure is quietly corrected to make a day balance. A difference is shown, not absorbed.

  • It does not chase your bank

    A payout that never arrived is named. Someone from your side makes that call.

Questions owners ask

What counts as a difference worth showing?
You set the threshold, and it is usually small. A small difference that keeps coming back matters more than a larger one that happens once, and both are shown until you say otherwise.
What if a platform pays weekly?
Then the day is reconciled against what that platform says it owes, and the payout is checked separately when it lands. 2 different questions, kept apart.
Do I still need my accountant?
Yes. This closes a day so the month is already clean when it reaches them. It is not bookkeeping and it does not file anything.
